Shopify koppelen aan Odoo: wat er precies synchroniseert en wat je vooraf moet regelen

Een webshop op Shopify en de administratie in Odoo: dat werkt prima, tot het moment dat je twee keer per dag zit over te tikken. Orders exporteren, voorraad bijwerken, retouren handmatig terugboeken. Wij zien bij groeiende webshops steevast hetzelfde patroon: niet de omzet is het probleem, maar de administratieve staart eraan.

Wat er heen en weer gaat

Dit is geen eenrichtingsexport maar een tweerichtingskoppeling. Concreet stroomt het volgende:

  • Orders — een bestelling in Shopify wordt een verkooporder in Odoo, met de juiste klant, artikelregels, kortingen en verzendkosten.
  • Klanten — nieuwe klanten worden aangemaakt, bestaande herkend, zodat je geen dubbele contacten krijgt.
  • Producten en varianten — inclusief de variantstructuur, zodat maat en kleur in beide systemen hetzelfde betekenen.
  • Voorraad — Odoo is de bron, Shopify volgt.
  • Prijslijsten — je hoeft prijzen niet op twee plekken te onderhouden.
  • Verzendingen en tracking — meld je in Odoo een levering af, dan gaat de fulfillment met trackingcode terug naar Shopify.
  • Retouren en creditnota's — een refund in Shopify landt als creditnota in je boekhouding.
  • Betalingen en uitbetalingen — inclusief de payouts, zodat het bedrag op je rekening te matchen is met de onderliggende orders.

Die laatste wordt het meest onderschat. Een uitbetaling van Shopify Payments is een verzamelbedrag van tientallen orders minus transactiekosten. Wie dat met de hand aflettert, is per maand een dag kwijt.

Hoe je hem inricht

De koppeling draait ín Odoo, niet op een externe middleware-server. Je koppelt je winkel met een API-sleutel, kiest welke objecten je synchroniseert en in welke richting, en mapt de velden. Voor de standaardgevallen staat die mapping er al.

Wat wij altijd eerst doen: een testsynchronisatie op een kopie. Niet omdat de koppeling onbetrouwbaar is, maar omdat webshops zelden schoon zijn. SKU's die niet matchen, artikelen die alleen in Shopify bestaan, klanten met drie varianten van hetzelfde e-mailadres. Dat wil je vinden voordat je live gaat.

Waar je op moet letten

  1. Bepaal wie de baas is over een veld. Mogen Shopify en Odoo allebei een prijs wijzigen, dan stuitert die prijs vroeg of laat heen en weer.
  2. Voorraad in meerdere kanalen. Verkoop je ook via een marktplaats of winkel, spreek dan af of de webshop de volledige voorraad ziet of een gereserveerd deel.
  3. Btw bij export. Shopify rekent btw op zijn eigen manier, Odoo op de zijne. Bij verkoop naar het buitenland moet dat op elkaar afgestemd worden.

Geen van deze punten is een blokkade, maar ze kosten allemaal een half uur denkwerk vooraf en anders een week opruimen achteraf.

Wat het kost

De Shopify-koppeling staat op het moment van schrijven voor €35 per maand in de marketplace. Het inrichten doen wij als onderdeel van een implementatie.

What moves in both directions

This is not a one-way export but a two-way integration. Concretely:

  • Orders — an order in Shopify becomes a sales order in Odoo, with the right customer, lines, discounts and shipping costs.
  • Customers — new ones are created, existing ones recognised, so you avoid duplicate contacts.
  • Products and variants — including the variant structure, so size and colour mean the same in both systems.
  • Stock — Odoo is the source, Shopify follows.
  • Price lists — no need to maintain prices in two places.
  • Shipments and tracking — validate a delivery in Odoo and the fulfilment goes back to Shopify with its tracking code.
  • Returns and credit notes — a refund in Shopify lands as a credit note in your accounts.
  • Payments and payouts — including payouts, so the amount hitting your bank can be matched to the underlying orders.

That last one is the most underestimated. A Shopify Payments payout is a lump sum covering dozens of orders minus transaction fees. Reconciling that by hand costs a day a month.

Setting it up

The integration runs inside Odoo, not on an external middleware server. You connect your store with an API key, choose which objects synchronise and in which direction, and map the fields. For standard cases that mapping is already there.

What we always do first: a test synchronisation on a copy. Not because the integration is unreliable, but because webshops are rarely clean. SKUs that do not match, products that exist only in Shopify, customers with three variations of the same email address. You want to find that before go-live, not after.

What to watch out for

  1. Decide which system owns a field. If both Shopify and Odoo may change a price, sooner or later that price will bounce back and forth.
  2. Stock across channels. If you also sell through a marketplace or a shop, agree whether the webshop sees all stock or a reserved share.
  3. VAT on exports. Shopify calculates VAT its own way, Odoo does it differently. Selling abroad, those two have to be aligned.

None of these is a blocker, but each costs half an hour of thinking beforehand — or a week of cleaning up afterwards.
